The Job At-A-Glance:
Q2 is seeking a Part Time Corporate Services Coordinator who will provide administrative support to all Q2 employees in our Lincoln, NE Office. Because this individual will interact with both internal and external customers, we are looking for someone who can project a professional company image through in-person and phone interaction at all levels.
A Typical Day:
Answer telephone and transfer to appropriate staff members/departments
Meet and greet clients and visitors
Schedule vendors for facilities maintenance and repair requests
Manage incoming employee tickets for facilities requests using Salesforce
Badge creation and distribution to new employees
Enforce the Q2 security policy by signing in guests and assigning appropriate lanyards. Following the temp badge policy when issuing temp badges to employees
Perform general clerical duties to include but not limited to photocopying, faxing, mailing, stamping, distributing mail, scanning and filing
Sign for, distribute and prepare all UPS/FedEx shipments
Create and modify documents using Microsoft Office
Setup and coordinate meetings and conferences (will work with Office Manager, Marketing and Sales Admins as needed)
Order office supplies or other equipment as needed
Place orders for food, prepare set up and handling disposal for meetings as necessary
Schedule meeting rooms; accept/decline all training room requests; assist in solving conference room conflicts
Support staff in assigned project-based work
Responsible for ensuring that all security, availability, confidentiality and privacy policies and controls are adhered to
Bring Your Passion, Do What You Love. Here's What We're Looking For:
Typically requires a Bachelor's degree or equivalent experience and may require up to 2 years of related experience; or an advanced degree without experience.
1+ year previous experience working in a corporate office preferred
Ability to multi-task in a fast-paced environment
Outgoing, proactive nature; ability to remain calm in stressful situations
Courteous and professional
Problem solving ability
Professional verbal and written communication skills
Strong attention to detail with the ability to stay focused and complete tasks when dealing with multiple interruptions
Experience with MS Office (Word, Excel and PowerPoint)
