Chief Administrative Officer (CAO)/PMO (Project Management Officer)

Objectives of this role

  • Collaborate with CEO in setting and driving organizational vision, operations strategy, and hiring levels
  • Translate strategy into actionable steps for growth, implementing organization-wide goal setting, performance management, and annual operations planning
  • Oversee company operations and employee productivity, building a highly inclusive culture that ensures team members can thrive and that organizational goals are met
  • Ensure effective recruiting, onboarding, professional development, performance management, and retention
  • Ensure compliance and maintains organizational awareness of all federal, state, local and corporate laws; take appropriate action when necessary
  • Manages capital assets, including tax planning, legal and compliance. Develop cost control systems and evaluate current accounting practices with a mindset of improvement.

Responsibilities

  • Analyze internal operations and identify areas for process enhancement; create written policies and procedures for all functions within the organization
  • Implement business strategies and plans that align with the short- and long-term objectives developed in tandem with CEO
  • Manage capital investments and expenses aggressively to ensure that the company achieves investor targets for growth and profitability, including assisting CEO with all capital raises
  • Assist CEO in development of key performance indicators and then monitor and report on KPIs for all parts of the company including financial, software development, human resource, project management office, sales and marketing. Take corrective measures when necessary, and work with peers to prepare detailed updates and forecasts
  • Ensure ROI and profitability and track profitability on all service and development projects
  • Effectively manage and oversee outsourced Human Resource and Accounting services
  • Managing human resources, including head count management as needed to meet project demands
  • Reviewing project proposals to ensure they are well planned, have a clear scope of work, and have qualified personnel assigned to the project
  • Managing the budget for the project by tracking expenses and requesting funding adjustments as needed
  • Maintaining relationships with clients throughout the project lifecycle to ensure that project goals are being met and milestones are being met on time
  • Build and maintain relationships with all key investors. Provide monthly investor communication updates on business progress to investors
  • Complete organizational planning for organization; ensure monthly strategic management discussions occur with action items
  • Coordinate, plan monthly or quarterly all team meetings covering organizational progress
  • Oversee all performance review management for the organization
  • Build and maintain trusting relationships with key customers, clients, partners, and stakeholders
  • Ensure 24-month rolling budget is maintained and quarterly reforecasts. Ensure monthly variance reporting is completed for management and the board.
  • Ensure financial reporting is shared with board quarterly or more frequently as needed
  • Reviewing project reports to ensure that tasks have been completed according to schedule and within budget
  • Managing risk by identifying potential obstacles and creating contingency plans to ensure projects are completed successfully
  • Creating a detailed project plan that describes all of the tasks required to complete the project, as well as their sequence and estimated time needed to complete each task
  • Preparing status reports for upper management on the progress of projects and highlighting any potential issues that may arise
  • Managing project teams to ensure that work is completed on time and within budget

Qualifications

  • Degree in business administration or relevant field
  • Experience in operations management
  • Solid understanding of business functions (HR, finance etc.)
  • Knowledge of fiscal planning, budgeting and reporting
  • Outstanding communication and interpersonal skills
  • Ability in decision-making and problem-solving
  • Excellent organizational and leaderships skills
