Primary Job Responsibilities
- CEO office: Manage the CEO’s to-dos, ensure they stay up to date and on track with their key projects. Project manage some of the key projects. Help coordinate with key stakeholders (Sales Managers, Software Development Managers, Finance, Legal, HR etc) on key priorities. Provide a summary of the progress on those projects to the CEO. Prioritize workload and meetings for the CEO. Keep track of progress on key projects and milestones. Manage CEO's physical mails and follow ups through various stakeholders. Lookout for opportunities to create more bandwidth for the CEO.
- People operations: Manage employee onboarding, assist in the senior key employee recruitment process especially with those where the CEO is involved directly (e.g. reviewing resumes and cover letters for certain criteria, do initial interviews, coordinate interviews with other stakeholders) etc.
- Office management: Manage office operations for Stamford office. Be the point of contract with external vendors including IT vendors to ensure office phone systems, internet, IT room and office equipment are functioning smoothly. Prepare an annual budget for the office expenses and track them.
- Communications: Manage email, communicate on the CEO’s behalf with company staff members and key stakeholders, draft company memos, etc. Ensure follow ups on important emails, manage his calendar. Answer his phone in his absence and do follow ups.
- Conference planning: Organize client events and conferences from sending out invitations, logistics and managing or help managing the event with the sales manager. Manage the budget for client gifts and swags in coordination with the Head of Marketing.
- Marketing and Social media management: In coordination with Head of Marketing, Create and schedule social media posts on top platforms like LinkedIn and Twitter, schedule marketing emails and newsletters from CRM, monitor engagement metrics, respond to comments, help grow an overall online presence.
- Bachelor’s degree required, master’s preferred.
- 5 -10 years of experience with 2-4 years of experience within a management consulting firm preferred
- Strong written and verbal communication skills
- Experience with Excel, Word, PowerPoint
- Experience with project management tools a plus
- Distinctive problem-solving, strategic and analytical capabilities, track record of building trusted relationships with a variety of contacts and executive stakeholders
- Ability to simplify complex ideas into presentable messages
- Persuasive and Able to weigh in on or make decisions with authority across all parts of the portfolio of responsibilities
- Ability to network with various business stakeholders
- At least 5 years of relevant experience
- All the needed certifications to perform these responsibilities
- Prior experience with electronic trading brokerage firms
