Location: (Hybrid): Studio Park Corporate HQ in Grand Rapids, MI (time split between Acrisure Home Office & virtual)

Associate Event Specialist

The Associate Event Specialist will support the Acrisure Communications & Brand team with a focus on meetings & event responsibilities. In order to be successful in this role, the applicant must be able to successfully manage and prioritize multiple projects and tasks with minimal supervision. Key to the position is to be a self-starter, ability to consistently prioritize to meet deadlines and be extremely focused to detail.

Reporting to: Event Director

Meeting & Event Responsibilities:

  • Manage meeting and event tasks:

    • Event collateral, supply & giveaway inventory, and shipment management

    • Invoice and contract management

    • Mailbox, calendar, and SharePoint organization

    • Capturing and reporting of event metrics and ROI

  • Lead and/or support event lifecycle as assigned:

    • Invitation and attendee list management

    • Communication development and review process (save-the-date, invitation, website etc.)

    • Venue research and Request for Proposal (RFP) process

    • Event collateral

    • Onsite execution

    • Make decisions during events without supervision

    • Allocate expenses appropriately

  • Budget management ownership

  • Orchestrate team activities (social gatherings, team meetings)

  • Manage external vendor relationships

  • Communicate effectively with event stakeholders (including senior level executives) as well as multiple cross-functional team members

  • Additional M&E duties as assigned

Qualifications:

  • 1+ years supporting marketing, corporate meeting & event planning logistics

  • 2 years of administrative support experience in a fast-paced corporate environment

  • Professional demeanor and appearance, treating others with respect and consideration

  • Proficient skills in Microsoft Office Suite

  • Experience preferred in Monday.com, Swoogo, Cvent, Concur, Workday, Hubspot

Critical Skills:

  • Detail oriented

  • Hospitality personality

  • Excellent organizational, verbal and written communication, and prioritization skills

  • Ability to be an individual contributor, collaborative, and take direction

  • Ability to deliver superior results in an extremely fast-paced environment

Education:

  • BA or BS degree or equivalent experience

Physical Requirements:

  • Must be able to lift and move boxes and event supply items in upwards of 25 pounds

  • When onsite for events, the ability to be on your feet for extended periods of time

Travel:

  • Estimated to be 25%+

  • Travel by air and car to meeting & event locations (hotels, restaurants, private venues, etc.)

    • At times travel will include nights and/or weekends, and could conflict with holidays
